Simclix keeps your personal details truly private
At Simclix we put safety and security first, this also means the safety of your data. We understand that the personal details that you provide us with, during our processes, should not end up in the hands of other parties. We got it covered.
We do need ask for your information to be able to help you to the best of our abilities. In this privacy policy you can read which information we ask and what it is used for. These are your data, and you can find out what your rights are. We explain who has access to your data, and for how long it is stored.
What is meant with processing personal details?
Processing entails everything that Simclix could do with your personal details. For example, collecting, storing, requesting, combining and deleting personal details from our systems. Personal details are all the details that either directly or indirectly relate to a natural person. This could, for example, be your name or address.
Who is responsible for processing my personal details?
Simclix is a brand name of Simclix, registered at the KvK (Chamber of Commerce) under number 77139941, established in The Hague, The Netherlands. Simclix is the data controller of your personal details.
Whose personal details do we process?
We process data from people that either, have, had or want a customer relationship with Simclix. This could be personal details of:
- (former) customers;
- Persons that show interests in our services;
- Persons that are affiliated with a company or organization with which we have, or want to have, or had, a customer relationship.
If a company or organization has a customer relationship with us and passes on contact details of its employees to us, that company or organization is obliged to inform these persons about this. In this privacy policy, these persons see how we handle their personal data.
Cookies
Simclix uses cookies when you visit us. Cookies are small (temporary) files for your computer or mobile device. Thanks to cookies, you don’t have to enter or download the same information every time you return to our website. Additionally, cookies are used to understand how you use our website and how to make it even better. Simclix does not use cookies for marketing purposes.

Contact form & configurator
If you want to make use of our services, you’ll have to let us know that you want to make use of our services. Maybe you have a question, feedback or any other inquiry. The most common and fastest way to do this is, is to use the contact form on our website. If you are new to Simclix and want to let us know what service(s) you are looking for, you can use the Simclix Configurator. In both cases we request personal details.
What do we want to know from you?
- Salutation, first- and last name
- Hi there, we’re Simclix, and what’s your name? We need to know your name so we can make sure that your name is on your quotation or invoice.
- Address and place of residence
- If you are not a company, we need your address and place of residence to put on the invoice. This could also be used as the delivery address for products ordered through Simclix. You can’t edit your invoice after you receive it.
- KvK (Chamber of Commerce) number
- If you are seeking services from Simclix as a company or organization, we need to know your official KvK number to make sure this is present on your quotation or invoice. Based on the KvK number some safety and security checks can be done to make sure we are not engaging in illegal activities.
- Company name
- We need the company name to put on quotations or invoices.
- Company address
- We need the company address to put on quotations or invoices.
- Email address
- You’ll receive a confirmation email on your contact request. Also, quotations and invoices could be sent to the email address.
- Phone number
- We need your phone number to contact you in case anything goes wrong during your project with us, or when you want us to give you a call. Simclix will never call you randomly.
- IP address
- By saving the IP addresses, we will be able to provide a secure experience when contacting us. IP addresses that are known for malicious activities will not be able to use our contact form or configurator.
Quotations & orders
Contacting Simclix to acquire services is the first step. Eventually Simclix will respond with quotations and orders. For both of these documents we might need additional information.
What do we want to know from you?
- btw-id
- We need your btw-id number if you’re a company to put on your quotation, order or invoice.
- Customer number, quotation number, order number or invoice number.
- Simclix uses one, or a combination of, these numbers on your quotation, order or invoice.
- (IBAN) Account number
- We need your (IBAN) account number to link your payments correctly. But also for example, when we need to refund money.
- IMEI and serial numbers
- We record the serial and/or IMEI numbers of products. These numbers are also on your invoice. They’re useful identification numbers in case your product is lost or stolen.
Contact with our customer service
We will help you with questions about your order, solve problems for you or tell you everything about our services. You can call, email, Tweet, Whatsapp and Facebook with us.
You don’t have to tell us your story twice, we will remember it using a note. To process your inquiry accordingly, we could ask for your customer number, order number, invoice number, quotation number, email address, phone number or other details that would help to process your inquiry. In order to enhance our customer service, we analyze all moments of contact. For example, by recording a phone call with you for training purposes. We will always let you know in advance if this is the case. Recordings will not be saved for longer than 30 days.
Visit of the Simclix website
When you browse the Simclix website or click on a service, cookies and similar techniques come into play. The cookies allow us to review your online behavior on our website. We can, for example, track which services you click on or request.

Account
Great that you have a Simclix account! In your account, we'll save the details of your previous quotations, orders, invoices, returns, email preferences and personal details. That saves you time, because you won’t have to enter this info every time you visit your account.
What do we want to know from you?

- We need your phone number to contact you in case anything goes wrong during your project with us, or when you want us to give you a call. Simclix will never call you randomly.
- IP address

Newsletter & email
We send you all kinds of emails. You receive emails regarding your quotations, orders, invoices, projects or project status. In these emails, we use techniques that measure and improve the effectiveness of our services.
You can also subscribe to the newsletter. The content of the newsletter is general and is not personalized. If you’d rather not receive newsletters anymore, it's easy to unsubscribe. There’s a link at the bottom of the email, in your Simclix account, or you can unsubscribe through our customer service.
Personal advice
When you’re logged in to Simclix, we recognize you as a unique visitor, and we keep track of data regarding your behavior on our website. Think of page views, viewing services or clicking on links. This way, we can analyze your reading behavior on our website, and provide content which fits your personal wishes. We link your reading behavior to your Simclix account and your purchase details. We save this combination centrally, so we can analyze everything properly.
We use this data to personalize our ads and emails. That’s how we prevent ads which are unrelated to what you want. We also use your data to give you tailored advice per email. You’ll find more information on this in 'Newsletter & email'. We handle your data with care, and in case we involve third parties, we make sure they do the same, promised.
We also use cookies to get to know you better. If you’d rather not want that, then have a look at our cookie page. By deleting cookies, we won’t be able to recognize you anymore as a unique visitor.
Promotions
If you enter your name, phone number, and email address when you participate in a Simclix promotion, you’ll hear from us whether you’ve won, or if we’ll return money in a cashback promotion.
We also use these details to analyze our promotions. So we can make them more fun each time.
Security, WiFi & cameras
- WiFi and cameras
- Simclix is equipped with cameras. This is really important for your safety and ours. We don’t save camera footage for longer than 60 days. The exception is when we see something suspicious which we’ll have to investigate further. This means we’ll have to save the footage for a longer time because of a legal requirement. You are allowed to use the free WiFi at our location. When you make use of our WiFi network, data is collected from the device you use to log in. An example is the MAC address (identification number). We only use this information to prevent misuse. We block access to the device in case illegal activities take place on our WiFi network.
- Security
- We'd like to trust everything and everyone. Online and offline. And as much as we’d want to, this seems a bit naïve. We sometimes need to use customer information to investigate, prevent, and actively stop fraud. This is in the interest of Simclix and all customers. If you’re really, really, acting suspiciously, we’ll have to pass on your details to the authorities, and nobody likes that. So we’d suggest you don´t.
Social media
You can send us a WhatsApp, a tweet, a Facebook message, a LinkedIn message and a chat message. We never share our customer base directly with Facebook, Twitter or LinkedIn.
On what legal grounds do we use your information?
According to the privacy legislation, we’re required to disclose on what legal grounds we’re able to use your information. We require your information because of the contractual agreements between you and Simclix. For example, in the case of your request for a quotation, order or your right to warranty. This applies to the following cases:

Next to this, we can use your information in the case of’ ‘legitimate interest’. This means that we want to provide our customers the most optimal and personalized service possible. We of course keep your privacy in mind at all times. This applies to:

- Your Simclix Account
- Newsletter & email
- Personal advice

- We could have a legal obligation to use your information. When we suspect fraud, for example. And sometimes you’ve provided us permission to use your information. This is the case when you subscribe to the newsletter. We keep track of this appropriately.
Who has access to your information?
We only pass on your information to other parties when this is really necessary for providing you our services. These parties are as follows: delivery partners, vendors, repair technicians, product support, payment partners, credit agencies, IT service providers. Our delivery partner has to make sure the physical goods of an order are delivered to the right address. We’re obliged to share customer information with government authorities in the case of suspicious situations.
The parties who receive access to your information through us, are only allowed to use it to offer you a service on behalf of Simclix. An exception is when they are responsible for acquiring and protecting your information themselves. Some cookie developers have access to the information which cookies collect on our website. You’ll read more about this in our cookie statement and in the privacy policies of these parties. We never sell your information to third parties.

Where do we save your information?
We save your information in several databases, and we always use strict security measures. Your information is almost always saved within the European Union. We like to keep things close to home. In the rare case that customer information is passed on to countries outside of the European Union, we’ll ensure that your privacy remains protected in the best way possible. This has been officially determined for certain countries.
How long do we save your information?
We don’t save and use your information for longer than necessary. We delete all the data we have of you afterwards. Or we use your anonymous information, because we need specific data for internal analyses and reports. Such as the value of your order.
Sounds pretty straightforward, but how does this work in practice? We maintain a few time periods, after which we delete your information. You can find them below:
- Recorded phone conversations are deleted after 30 days as a standard. An exception is when we have a legal obligation to save a conversation for a longer period of time.
- We don’t save camera footage for longer than 60 days. Unless we see something suspicious which needs to be looked into further, or if the footage needs to be saved for a longer period of time due to other legal obligations.
- We delete inactive customer accounts and projects after 7 years. We only use your anonymous information for internal reporting after this period.
- The Dutch tax authority (Belastingdienst) requires us to save our administrative paperwork with your invoicing, payment, and order details for 7 years. We only use anonymous information for internal reporting after this period. You’ll also need to save the invoices of your purchases, for when your warranty expires for example.
- If you contact our customer service, we’ll save your request and contact details for 7 years. We only use your anonymous information for internal reporting after this period.
- If you’ve subscribed to the newsletter, then we save this permission for 5 years. We also save the retraction of your permission in case you decide you don’t want to receive the newsletter or personalized messages any longer. We don’t save the emails you receive from us for longer than 60 days. You don’t have to worry about receiving the same email from us on a regular basis. We only use your anonymous information for internal reporting after this period.
- We store information we need to prevent fraud for a longer period. We don’t like it, but it’s necessary.
What are your rights?
Your personal details are yours and you are the manager. Would you like to access your personal details or receive a copy (small fee might be charged)? Or would you like to edit your details, delete or restrict usage, or adjust your email preferences? Say no more. You can easily do all of this in your Simclix account. Or you can let us know by email. In this way, you can let us know that you feel your privacy weighs more heavily than our interests. We’ll review the situation in this case. Do you want us to transfer your information to another party? We can do that. Send your request via email and we'll make it happen.
Easily unsubscribe from the newsletter. You can do this in your Simclix account or through the link at the bottom of the newsletter itself. If you’d rather not have any cookies at all, you can arrange this yourself as well. Our cookie page tells you how to do this.
We want to make sure it’s really you. That’s why we could ask for additional information to establish your identity. We also do this when we receive unclear requests.

The Simclix website contains links to other websites. Our privacy policy applies only to our website, so if you click on a link to another website, you should read their privacy policy.
Can this privacy policy be modified?
Simclix keeps its privacy policy under regular review and places any updates on this web page. The last date of modification can be found at the top of the page.
